Privacy Policy

This Privacy Policy explains how ExitNiq ("ExitNiq", "we", "us") collects, uses, and protects information when you use our service. By using ExitNiq you agree to the practices described here.

1. Information we collect

Account information.When you create an organization we collect your email address, a hashed password, and your organization's name.

Exit data.When you create an exit we collect the departing employee's name, email, role, department, and (optionally) their manager's email.

Interview content.The conversation between the departing employee and our AI is stored as a transcript and used to generate the handoff document. Both are stored in your organization's scope and not shared with other customers.

Operational data. We log application events (timestamps, IP addresses, user agents, action names) for security, abuse prevention, and audit purposes.

2. How we use information

  • To provide and operate the service
  • To send transactional email (interview invites, completion notifications)
  • To process subscription payments
  • To investigate abuse and protect the service
  • To comply with legal obligations

We do not sell personal information. We do not use interview content for advertising or to train external AI models.

3. AI model usage

Interview messages are sent to Anthropic's API to generate responses. Anthropic does not use API inputs to train its models. See Anthropic's commercial terms.

4. Subprocessors

We use a small set of trusted third parties to operate the service. The current list is published at /subprocessors and updated at least 30 days before any material change.

5. Data location and security

Data is stored in the United States by default (Supabase Postgres) with encryption at rest and in transit. Operational security controls are documented in our public SECURITY.md.

6. Your rights

You may at any time:

  • Access your data through the dashboard
  • Export the handoff document as Markdown or PDF
  • Delete your organization and all associated data via Settings → Danger Zone
  • Email privacy@exitniq.com to request a copy or deletion of any data we hold about you

If you are a California resident, you have additional rights under the CCPA, including the right to know what personal information we collect and to request its deletion.

If you are an EU/UK resident, GDPR rights apply. Our legal basis for processing is the performance of a contract (your subscription) and our legitimate interest in operating and securing the service.

7. Retention

We retain your data for as long as your subscription is active. When you delete your organization, exit records, transcripts, and handoff documents are removed within 30 days. Audit logs are retained for 12 months for security and compliance purposes.

8. Children

ExitNiq is intended for use by businesses and is not directed at children under 16. We do not knowingly collect data from minors.

9. Changes to this policy

We will update this policy as the service evolves. Material changes will be announced by email and via in-app notice at least 30 days before they take effect.
